Download Exhibitor Order Form   |   Booth Floor Plan Updated regularly, use this to determine your booth preferences for Order Form.

    • Exhibit Booth in poster garage: $3,000. Booths are 10-ft wide x 8-ft deep. See more info on what is included below. Due to space limitations, there is a limit of one booth per company.
    • Literature Insert in conference bags, $1,300 / insert. 
    • Email Blast to ENC List + Pre-registered attendees for joint meeting, $1,800. Company provides HTML message that ENC will distribute via its email platform (sent to approx. 2,500 ppl) inclusive of conference pre-registrants.
    • Rotating Banner in online planner & mobile app, $2,500. Rotating banner on the home screen of online planner & mobile app. 
    • Student Travel Stipend supporter, $500+. Help support student participation. Recognition commensurate with level of support.

Hospitality Suite Waitlist. Hospitality suite space is fully occupied by returning vendors. In case of cancellation we maintain a waitlist. To be added to the waitlist, send request to jennifer@enc-conference.org.

 Move-in & Move-out / What's Included for Exhibit Booths or Hospitality Suites

Booth Move-in (two options):
Sun, April 6, 2-4pm OR Mon, April 7, 10am-12pm

Booth Move-out (one option only):
Thurs, April 10, 4-6pm

Exhibit Booths include these items: 8’ High Back Drape 3’ High Side Rails (1) 6’ Skirted Table (2) Side Chairs (1) Wastebasket 7” x 44” ID Sign. One free full conference registration. Additional Exhibits-only badges can be purchased for $300.

Not Included with Booths
These items may be ordered from Tricord.

  • Carpeting is not included
  • Electrical is not included (e.g. if you want a plug at your booth)
  • Lighting is not included. Clip lights may be ordered.

Suite Move-in:
Sun, April 6, 12-4pm (unless other arrangements confirmed with ENC and Tricord)

Suite Move-out:
Thurs, April 10, 8am-12pm

Hospitality Suites include a basic set-up of banquet tables and chairs that you need to order from your Asilomar event services manager. Two free full conference registrations. Additional Exhibits-only badges can be purchased for $300.

Not included with hospitality suites and where to order:

  • Speciality furniture (cocktail tables, heaters, soft furnishings and services (drayage, assembly, extra power drops) - order these items from TriCord
  • Catering services, standard infrastructure (incl. banquet tables and chairs), internet - order these items from Asilomar (your assigned convention services manager)

Look for email with coupon codes for free registration (1 per booth and 2 per hosp suite). A code is also available for discounted registration for additional staff not covered by the free registration(s).

Labels include shipping address and instructions. Prepare 950 inserts. We will adjust this quantity in mid-March to reflect actual pre-registration. However, if you need to produce your inserts prior to mid-March, please create 950.

Note: bags are stuffed by Tricord. Stuffing will begin on March 27. If your ordered insert is NOT received it will be missing from conference bags.

Cancellation Policy

      • On or before January 31, 2025, company will be subject to a fee equal to 50% of total paid.
      • After January 31, 2025, no refunds. There will be no exceptions.
